About The Role

Essential duties & responsibilities

  • Book travel/accommodation for all SMT members, including UK MD & CFO
  • Expenses for all SMT members, including UK MD
  • Screening telephone calls for SMT members
  • Reception cover when receptionist is on A/L or ill (receptionist & new person to coordinate holidays and lunch breaks)
  • Set up/clear meeting rooms and greet guests for CEO, UK MD, SMT & CFO
  • Order/buy lunches for CEO, UK MD, SMT & CFO meetings when required
  • Assist with booking of internal meeting rooms for SMT members
  • Assist with booking of external venues when required
  • Helping out EA when required
  • Assist with office social events
  • Carry out any other duties that are within the scope and purpose of the job, as requested by the line manager

About You

Position specifications

The ideal candidate will have at least 6 months experience in a similar role


  • Excellent organisational skills and the ability to prioritise a varied workload
  • Excellent communication and interpersonal skills with the confidence to liaise at all levels
  • Good project management skills
  • Demonstrate ability to use initiative and be proactive
  • Able to meet deadlines
  • Able to handle pressure of working in a busy department
  • Strong attention to detail
  • Being able to deal with confidential information and ensure discretion at all times
  • Self-motivated, disciplined and willing to learn
  • Good Microsoft skills, particularly Word and Excel
  • Ideally educated to A-Level standard or equivalent


  • Previous experience of assisting a Project Office
  • Previous experience of working in an MSP environment
  • MS Project Skills

The Administrative Assistant will provide support to the Senior Management Team (“SMT”).  The successful candidate will report to the Executive Assistant.

This position is a good opportunity for an individual who is organised, has a keen eye for detail and is interested in developing project management skills.
